Job Description - Operations Support Office (IT Chapters Organization)

Location: Brussels (Hybrid - up to 3 days remote per week)
Travel: Occasional travel to Germany (expenses covered)

To support this transformation, the company has implemented an IT Chapters organization, designed to:

Align IT professionals across projects and products

Improve workforce management and productivity

Establish governance, standards, and best practices across application lifecycle management

The team is seeking an Operations Support Office professional to support ongoing initiatives and operational coordination.

Role Overview

The Operations Support Office Consultant will provide administrative, coordination, reporting, and process improvement support to the IT Chapters organization and related stakeholders.

Key Responsibilities

Provide administrative and operational support, including meeting scheduling, agenda preparation, and event coordination across Belgium and Germany

Maintain and update documentation, reports, presentations, and KPI dashboards using reporting and visualization tools

Track tasks and manage requests in project/ticketing systems, ensuring follow-up and resolution

Support process improvement initiatives (e.g., learning & development, KPI monitoring, change management)

Coordinate with cross-functional stakeholders (HR, Procurement, Finance, internal clients) across multiple countries

Ensure structured communication and compliance with internal standards

Requirements
Experience

Minimum 3 years of proven experience in a similar role (preferably in IT or corporate environments)

Degree in Business Administration, IT Management, or related field

Ability to work autonomously in a service-oriented environment

Experience documenting processes and procedures for broad audiences

Technical Skills

Proficiency in:

Microsoft PowerPoint

Microsoft Excel

Power BI

Jira

Confluence
(or equivalent project/ticketing and reporting tools)

Soft Skills
